Choosing the Best Cloud Accounting App for Your South African Business

By Grant Jolliffe · November 2025 · ~5 min read

Running a successful business in South Africa requires effective management of finances, and this is where cloud-based accounting platforms come in. With several options available, choosing the right one can be challenging. Here we compare five of the most popular options in South Africa.

What Is Cloud-Based Accounting?

Cloud-based accounting refers to online accounting software that manages finances and bookkeeping through the internet. These platforms offer several advantages over traditional desktop solutions:

The Platforms Compared

1. Xero

Xero is our recommended platform for South African SMEs. It offers invoicing, bank reconciliation, expense tracking, and a powerful app ecosystem with over 1,000 integrations. Xero is South Africa-ready with built-in VAT support and is actively used by SARS-registered practitioners. A free trial is available.

2. Sage One (Sage Business Cloud Accounting)

Sage is an established accounting software provider with a significant South African operation and a product tailored for the local market. Sage Group plc is headquartered in Newcastle upon Tyne, UK, though Sage Business Cloud Accounting is widely used by South African businesses. It offers invoicing, bank reconciliation, and expense tracking at an affordable price point.

3. QuickBooks Online

QuickBooks provides comprehensive accounting features including invoicing, bill payment, expense tracking, and payroll integration. It’s widely used globally and has an extensive support network. A free trial is available.

4. FreshBooks

Designed for small businesses and freelancers, FreshBooks focuses on invoicing and time tracking. It’s particularly well-suited for service-based businesses that need strong client billing features rather than complex inventory management.

5. Wave Accounting

Wave has a free Starter tier covering basic invoicing and expense tracking, but most features that matter for proper bookkeeping — bank reconciliation, automatic bank imports, and reliable reporting — now sit behind the Pro plan at around $16/month. It may suit a very early-stage sole trader watching every rand, but for any business that needs accurate financial records it is effectively a paid product. Wave is also US/Canada-focused with limited support for South African bank feeds and VAT reporting.

Choosing the Right Platform
