7 Ways to Make the Most of Xero for Your Small Business

By Grant Jolliffe · September 2025 · ~5 min read

Xero accounting software is an excellent option for small businesses looking for a better way to manage their finances. Here are seven practical ways to get more value from your Xero subscription.

1. Connect Your Bank Feeds

Set up direct bank feeds so transactions import automatically into Xero from your South African bank accounts. This eliminates manual data entry, reduces errors, and means your books are always close to current. Most major South African banks support Xero bank feeds.

2. Use Xero for Invoicing

Create and send professional invoices directly from Xero. You can set up automatic invoice reminders to reduce the time you spend chasing payment. Tracking which invoices are overdue becomes automatic rather than a manual exercise.

3. Track Expenses Properly

Categorise every expense correctly as it comes in — not in a hurry at tax time. When expenses are coded to the right accounts consistently, your management reports actually mean something. Xero’s mobile app lets you photograph and capture receipts on the go.

4. Run Reports Regularly

Xero’s reporting is one of its strongest features. The income statement, balance sheet, and cash flow statement can be generated in seconds. Run them at least monthly. If you don’t understand what you’re looking at, ask your accountant — the numbers are only useful if you act on them.

5. Manage Accounts Receivable

Xero shows exactly which customers owe you money and for how long. Use the accounts receivable aging report to prioritise collection follow-ups. Automatic invoice reminders can be set up to send at 7 days, 14 days, and 30 days overdue without you doing anything.

6. Use Purchase Orders

For businesses that order stock or materials regularly, Xero’s purchase order system helps you track what you’ve ordered and match deliveries against orders. This makes inventory management more accurate and reduces disputes with suppliers.

7. Explore the Xero App Marketplace

Xero connects with over 1,000 third-party apps covering payroll, inventory management, project tracking, point of sale, e-commerce, and more. The right integrations can automate large parts of your bookkeeping workflow. Ask your Xero Certified Advisor which apps make sense for your business model.

As Xero Certified Advisors, DigMe Solutions can set up your Xero account, connect your bank feeds, configure your chart of accounts, and train you and your team on the platform. Get in touch to get started.
